TeleForce Features...Explained

TeleForce is a powerful, yet uncomplicated tool for marketing and sales professionals to streamline the sales process. TeleForce was built from the ground up with efficiency and ease-of-use in mind so anybody, regardless of computer skill level, could use TeleForce.

Let's take an in-depth look at what makes TeleForce such a powerful, yet simple tool.

Data Fields

TeleForce offers a wide selection of data fields in two groups, Basic Information and Extended Information. In keeping with the efficient and streamlined theme throughout the software, the two groups help separate the most important information about a company from the less often accessed fields and keeps clutter at bay.

Random Records

Random records are a huge time saver. When you or a team member need to choose a new record to call, we take the decision process out of the equation and display a fresh record with the click of a button. This makes choosing the next record to pursue, well, not a choice. One click and all the information you need to know about that record is right in front of you. After you've interacted with that record, simply click 'Next Record' and another random record will be displayed.

Use the random records to get the process started and fill your Hot List. Once a record is in the Hot List, it'll never show up in the Random Records again.

Hot List

The Hot List is dedicated to those records you are currently working on. Somebody you have to call back later, somebody who has expressed interest, somebody who wants to come to your next event, etc. The Hot List is sorted by date and user, so each team member has their own Hot List every day. In the event a team member doesn't make it into work, team members can access each other's Hot List so no prospect falls out of the loop, even if somebody within your company does.

The Hot List can be viewed in two modes, Single Record View or Table View. Some people like working from the table while others prefer to work from the Single Record view to simplify things. From the table, simply click a row and that record is instantly pulled up.

Follow Up List

The Follow Up list is for records who have done more than express interest in your company. These people have already been to (or agreed to attend) a seminar, bought something, or requested extensive information. These are people who you'll follow up with to ensure they have/had the best experience possible with your company and people who are often likely to purchase from you again. Records are added to the Follow Up list when a note is created on a record indicating they have attended a seminar or set an appointment.

Notes & Reminders

Notes and Reminders drive TeleForce. Notes are used for KPIs, keeping track of what has been said and done with each record, and to add records to the Follow Up List. Notes are visible by everybody on your team so everybody is on the same page with each record.

Reminders power the Hot List and Follow Up List. Reminders are automatically created when you save a new note. From the Save Note panel in the record view, you can select an owner if you'd like to assign the record to somebody else on your team. To reassign the record at a later date, it's as simple as editing the latest reminder (or create a new one) and choose a different owner.

Adding Records to TeleForce

TeleForce allows you to add records one-by-on or en masse. To add a single record, navigate to the 'Records' tab, click 'Add New Record', fill in the information and click 'Save Record'. To add records en masse, upload a CSV (Comma Separated Values) file from the TeleForce Control Panel.

Multiple Contacts

Got multiple connections at one company? No problem. TeleForce allows you to track each of them with their own first/last name, phone number, email address and title. Adding new contacts requires one click right from the record display.

Do Not Call & Recycle

Some people just don't want to be called again. When they ask, it's your obligation not to call them again. Fortunately for you, TeleForce makes this easy with a simple "Do Not Call" button. When this button is clicked, the record is immediately removed from Random Records, the Hot List and the Follow Up list and a note is created on the record reminding team members that they shouldn't call this record. In the event the status changes however, one can easily find the record again by searching for the record using the Search Database feature and opting to include 'Do Not Call' records in the search.

Some people just can't be reached, or the sales process isn't going anywhere. That's why we came up with a 'Recycle' feature. Simply click the 'Recycle' button from either Random Records, the Hot List, or the Follow Up list and all reminders are canceled and a new reminder is set for 4 months from today's date. Don't worry - all notes are kept so you'll still know where you left off.

Key Performance Indicators

From dials to voicemails left to hours and everything in between, TeleForce allows you to keep track of your team's progress with 16 (and counting) data points that can easily be charted in an Excel spreadsheet, a simple table within the application, or even colorful graphs.

In addition to the 16 predefined KPIs, TeleForce allows organization administrators to add up to 5 custom KPIs (Actions) to the list, and even remove any or all of the 16 above.

Auto Logout

In the event you'd like to keep track of your team's time spent making phone calls and interacting with prospects from your database, we've included an Auto Logout feature where the system will automatically log the user out of TeleForce (thereby stopping the clock) after a certain period of time without any activity (you can choose what that length of time is).

Data Security

Your data security is our highest priority. We go to great lengths to make sure your data is stored securely. We use Amazon Web Services servers which are protected in world-class data centers with 24/7 armed physical security, battery and generator power backup, and the most advanced software and hardware firewalls in the world. Your data is also backed up twice each day and can be rolled back within minutes in the highly unlikely event something were to go wrong.

TeleForce also establishes a secure connection (HTTPS) to our servers using 256-bit encryption (the same kind of encryption banks use) to further enhance your data's security and prevent malicious attacks. User's passwords are stored in 512-bit encryption (military strength).

TeleForce Control Panel

TeleForce is designed for small to medium sized business with 1-30 employees, so we've built a quick way to manage the users in your organization, what KPIs to track, system theme, timezone, categories, Random Record criteria, auto logout, etc. The Control Panel is only accessible by those users deemed 'administrators' when you first setup TeleForce, or by editing a user's role.

Google Calendar Integration

TeleForce integrates with Google Calendar (and therefore Outlook, iPhone, Apple Mail, Android, etc.) so your team can schedule appointments and add them to another team member's calendar in seconds, right from TeleForce. When an appointment is made, an email notification is automatically sent out to the assigned team member letting them know about the appointment and giving them details of the event. Calendar events can also be edited and deleted right from TeleForce. The calendar event contains notes from TeleForce, contact information, address and other details.

Appointment Booking Wizard

When an appointment is made (signaled by checking 'Appointment' when saving a note to a record), a dialog window appears and asks the user for information about the appointment such as the date, time, location and who to assign the appointment to. Upon providing TeleForce with this data, the software will automatically connect with Google Calendar (Business & Enterprise subscriptions only) and add the appointment, notes and other details to the assigned calendar. It'll also save a new 'History Item' (Notes, Reminders and Events) to the record so you can see when the event was made, who made it and get all the details. Users can easily modify or delete the appointment from this history item.

TeleForce API

TeleForce was built because of closed or severely choked APIs from other software. Every TeleForce subscription contains unlimited calls to our database using our JSON API, making it available in just about any modern-day computer language including PHP, Javascript/jQuery, ActionScript, Java, Ruby, C/C++/C# and Python. Developers can integrate with TeleForce to add/remove items from a user's Hot List and Follow Up List, add, remove and edit records in the main database, and read all account data.

Tip: Use the TeleForce API with a 'Download E-Book or White Paper' type form on your website. Form data can automatically be added to TeleForce for your team to follow up with soon after the prospect downloads the e-book.
